    In managing associations JDK’s management philosophy is grounded in two overarching principles, property preservation and long-term fiscal management. With proper fiscal management an association should be completing capital improvements every year.

    Our approach is simple, we do not comprise on the quality of work from our vendors, we negotiate the most competitive rate for the volume of work your association and our entire portfolio requires and we continually re-evaluate the long-term goals for the property. Our maintenance staff handles routine issues; however for maintenance projects we typically utilize vendors we have pre-existing professional relationships with. We negotiate the most competitive rates and our portfolio garners us attentive service. JDK will be happy to continue using any existing service providers of the association or will bring in our regularly contracted vendors at the request of the board.

    In transition JDK will work with the board of directors to determine their long range plans for the association. From those goals, JDK asset managers will develop a preventative maintenance schedule, combined with a capital improvements plan for the association. Our maintenance staff, in conjunction with an asset manager will complete regular exterior inspections of all common areas. The purposes of such inspections are three fold. Primarily regular inspections help our maintenance staff identify maintenance concerns proactively. This in turn effectively reduces the instances of emergency maintenance or critical failures of mechanical systems. Regular inspections also provide for the opportunity to uniformly enforce the bylaws of the association. Specifically, this relates to provisions in the restrictive covenants of the association, generally restricting the way in which individual association members can change the look of their unit and/or personal property they wish to store in common areas. JDK will work closely with the board to determine how strongly they wish to enforce such provisions. Inspections serve one final purpose, ensuring asset managers are maintaining the goals as set forth by the board of directors as defined in the capital improvements plan.

    Paramount for any board of directors is sustainable fiscal management. In conjunction with the board of directors, JDK will develop and/or advise upon the current yearly budget. Dues collection is handled through our professional property management software platform. Each association member will be created a personal online portal account allowing for online dues payments. We have the ability to also set up an auto draft system, allowing for payments to be automatically drafted from association members should the board choose to do so. If necessary, JDK will initiate legal proceedings against any delinquent association member at the discretion of the board of directors. All association funds will be held in NC Board of Realtor approved trust accounts and will be open to review by any association member upon request.

    Services offered


    Accounting:

    • Receive & process monthly association dues
    • Process & pay bills against association property; Insurance, Service Contracts & Board of Directors approved expenditures
    • Deliver financial reporting by monthly and yearly statements
    • Institute capital reserve escrow account in conjunction with a long range capital improvements plan
    • Budget preparation for both Operating and Capital Reserve Accounts
    • JDK will propose yearly budgets to Board of Directors and/or advise board upon appropriate long-term fiscal management procedures
    • JDK will provide Trust accounts for Association funds to be held in
    • Delinquency follow-up & initiation of court proceedings at request of Board of Directors for non-payment issues per Declaration of Covenants, Conditions and Restrictions Document
    • Furnish end-of-year tax reports for the Association
    • Review all utility service billing
    Operations:

    • Attend and/or lead quarterly HOA meetings and annual membership meetings
    • Advise Board of Directors on all issues pertaining to the association
    • Practice by-laws enforcement, to the extent requested by Board of Directors
    • Coordination and forecasting of special event resource needs

    Structure & Common Areas:

    • Review all outstanding service contracts
    • Review vehicle parking & foot traffic locations
    • Oversee all contracted work preformed on association property
    • Acquire service contracts at direction of board & negotiate competitive rates
    • Regularly audit on-going service providers & re-negotiate competitive rates

    Risk & Liability:

    • Evaluate fire risks & proper hazard insurance
    • Review umbrella insurance policies and liability coverage

    Identify specific physical liabilities & hazards on property
